Top 5 Prism releases of 2025
1. Prism AI

New module! Prism AI transforms your document library into an intelligent, searchable resource. This powerful new feature gives property teams instant, strategic insights about any document uploaded in Prism. The result? Property teams are more efficient and save hours of work every week. Instead of manually searching through static files, Prism AI converts your property documents and data into actionable information through simple, conversational questions.
Here are just a few ways Prism AI can answer your most pressing questions and streamline your day:
- Quick vendor contract and invoice analysis: Stop manually cross-referencing documents. Instantly get the clarity you need by asking: “Review this invoice for $3,500 in emergency HVAC repairs and compare it to our maintenance contract. Is this work already covered under our agreement?”
- Tenant satisfaction insights: Turn raw feedback into actionable strategy by uncovering trends in tenant requests and complaints. Simply ask: “Analyze all tenant complaints about air quality from the past quarter. Are there patterns by floor, time of day, or building zone?”
- AI-powered equipment inspections: Use visual data to get immediate answers in the field. Upload a photo and ask: “Take this photo of the chiller unit and tell me what’s wrong with it. Based on the equipment nameplate, what is the make, model, and estimated replacement cost?”
2. Refrigerant Tracking
The new Refrigerant Tracking feature in Prism allows users to record liquid top-off values for refrigerant equipment through work orders, preventive maintenance tasks, and equipment-based inspections. Refrigerant Tracking eliminates manual tracking methods and centralizes critical data within your existing Prism workflow, improving both accuracy and accessibility.
- This streamlined process helps organizations:
- Maintain compliance with environmental regulations
- Track refrigerant leakage patterns across equipment
- Identify potential equipment concerns or inefficiencies
- Generate comprehensive usage reports

3. Incidents reporting on mobile
Introducing an easier way to report and manage incidents directly from your mobile device. You can quickly create detailed incident reports that automatically capture the date and time, attach photos and videos, and include witness or victim information while you're in the field.
Key features:
- Complete custom incident forms
- Automatically generate work orders with property information already filled in
- Instantly share reports through SMS or email
- Stay informed with real-time push notifications that alert you to incident status updates, new comments, and workflow changes

4. Bid management improvements
Property selection matrix for complex, multi-property bids
We created a new property selection matrix to the Bid Management module, designed to simplify complex RFPs spanning multiple properties. Property management teams and vendors now have a clear, organized way to manage bid submissions across various locations, eliminating confusion and improving response accuracy. The matrix format presents all properties in a single view, allowing for efficient bid preparation and evaluation when working with extensive portfolios.
Key benefits for vendors:
- Granular property selection: Vendors can choose specific properties to include in their bid response and denote different costs for each property, if applicable. Previously, vendors could only submit a total cost estimate that would include all properties specified in the bid request
Key benefits for property managers:
- Customizable minimum requirements: Specify how many properties vendors must bid on at a minimum, ensuring broader coverage while maintaining flexibility
- Property-specific winner selection: Choose winning bids on a per-property basis, optimizing vendor selection for each location. Previously, PMO users could only choose a single vendor for all properties included in the bid request
- Partial bid awards: Award contracts to partial property sets and automatically create new bids for remaining properties.
- Improved bid analysis: View bids by property or by vendor, easily compare vendor responses, track bid status for each location, and export for additional data analysis
