Import and export improvements

Internal IDs in every module

Property and company Internal IDs, which used to appear only in Work Orders, Projects, and Vendor Spend, now extend to all modules. Add them to import templates (matching by name still works, so existing files keep importing), find them in exports, and use them as sortable, reorderable grid columns placed next to the name columns. Filters accept exact matches and multiple values, and your filter selections stay in place as you move around. When several properties or companies have similar names, an Internal ID tells Prism exactly which one you mean, which cuts import errors and makes it reliable to export a file, edit it, and import it again.

Intelligent Excel Template for more import types

Labor records, material records, and inspection program questions now come with the Intelligent Excel Template, complete with dropdowns, built-in validation, the Configure Excel Template panel, and the column picker. These imports used to offer only a plain CSV template. Start the import from the Work Orders, Inspections, or PM Tasks grid and the Excel template carries the same columns as the CSV version.

Column picker for Excel import templates

Wide imports like equipment or contracts no longer have to start with every available column. In the Configure Excel Template panel, turn on the column picker, then check "Download with selected columns" and choose only the columns you need. Required columns always stay in the template so your upload passes validation, and columns that depend on others bring their parents along (Space Name adds Floor and Property, for example). The screen shows which columns are locked and why. Leave the option off and templates keep including every column, as they do today. Shorter templates are quicker to fill in, easier to share with colleagues, and leave less room for data landing in the wrong column.

Pre-fill multi-value and cascading columns in Excel templates

The Configure Excel Template panel can now pre-fill 31 multi-value columns across 24 import types. Dropdowns in cascading columns, such as floors, list only the values that are valid for the property you pre-filled, and corrected delimiters mean downloaded templates import without validation errors. Before this update, multi-value columns could not be pre-filled, floor dropdowns listed every floor regardless of property, and some pre-filled values failed on upload.

To pre-fill a template:

  1. Turn on "Configure Excel Template."
  2. Select Pre-fill and complete the Value fields.
  3. Download the Intelligent Excel Template.
  4. Complete the remaining fields in Excel.
  5. Import the file.

Floor name checks for space and tenant imports

Space and tenant imports will compare each floor name with the floors already on the property. A mismatch appears as an error you can fix before anything is saved, where Prism used to create a new floor quietly. A typo or a different naming style no longer produces a duplicate floor, so there’s no need to merge duplicates weeks later.

Bulk delete confirmations show record counts

Selecting all with the header checkbox can include every page that matches your filters, so a bulk delete may remove more records than the rows on your screen. Confirmations now display the exact number of records in red before you commit, and the confirm button stays disabled when the count is zero. This applies to bulk delete in 11 modules, including Preventive Maintenance, Inspections, Tenant Compliance, and Communications.
