Export company data with property and region details

Export files include Property ID, Region Name, and Region ID when you select "Export All Columns." These columns appear in logical positions and follow standard naming conventions.

Assign custom permission groups when importing users

Add a Permission Group column to your import file. Enter any valid permission group name, and users get assigned to that group during upload. The import process checks for invalid or inactive groups and gives you clear error messages.

This feature requires "Can Manage Users" permission.

Jump to any page instantly with Quick Switcher

Now, you can effortless move between modules without clicking through menus or navigating multiple levels.

Press Command+K (Mac) or Ctrl+K (Windows) to navigate anywhere in Prism. Simply type to search all modules and pages and use arrow keys to move through results. Press Enter to go directly to any page. The search works with partial or approximate words.

Import and export complete equipment and property data

Import and export files on equipment now include 10+ new fields:

  • Owner
  • Operational Status
  • Purchase and service dates
  • Useful life
  • HVAC details (tonnage, voltage, refrigerant type)

Column headers match what you see on screen. Filter equipment by manufacturer, model, serial number, owner, and refrigerant. Sort by manufacturer, model, serial number, and asset tag.

Import and export files on properties include 20+ new fields:

  • Land area
  • Clear height (with units)
  • Dock positions
  • Walkability score
  • Energy certifications

All labels match across grids, imports, and exports. Property size and clear height require units, with automatic conversion that keeps your data accurate. Filter by acquisition date, floor area, clear height, energy ratings, year built and renovated, and property features. The search function now includes developer, market, business park, fund, and major tenant.

New export tools

Choose "Export All Columns" or "Export Visible Columns" for just what you see.

Import data directly from any module

Click the Import button in any module grid, right next to Export. The import wizard opens in your current module, eliminating the need to pick a module from a list. The Admin import page is still available for managing all imports in one place.

This is available in Prism's modern interface with full parity to the legacy interface. You’ll find the complete import wizard, reusable presets, and history tracking with real-time updates.

Export preventive maintenance task and incident comments

Previously, Preventive maintenance task and incident exports didn't include comment threads. The new exports include six comment columns, matching work order exports:

  • PMO All Comments and PMO Latest Comment
  • Engineering All Comments and Engineering Latest Comment
  • Non-PMO All Comments and Non-PMO Latest Comment

"All Comments" columns show the complete thread with timestamps and authors, oldest to newest. Non-PMO comments include the person's role and organization. Exports follow visibility settings and private comment rules.

Update labor rates in bulk

Upload labor rates using CSV or Excel files. This feature is ideal for initial setup or applying rate changes across multiple properties.

Error messages on bulk imports

New error details appear on bulk imports and tell you exactly what's wrong with the upload and how to fix it.  Each error shows the row, column, and problematic value. Validation rules, error formats, and column headers work the same way across Equipment, PM Schedules, Companies, Work Orders, and all other imports.

New currencies for Asia-Pacific markets

Select from seven Asia-Pacific currencies in work orders, budgets, invoices, contracts, and reports:

  • Sri Lankan Rupee (LKR)
  • Malaysian Ringgit (MYR)
  • Indonesian Rupiah (IDR)
  • Hong Kong Dollar (HKD)
  • Macanese Pataca (MOP)
  • Chinese Yuan (CNY)
