Enhanced contract management

We've redesigned the contracts form to streamline creation and improve data accuracy for multi-account users.

What's New:

  • Multi-account support - Includes an account selector for users managing multiple portfolios.
  • Ownership tracking - Adds an optional start date field for contract responsibility transitions.
  • Global currency - Allows currency selection independent of property location.
  • Clear terminology renames "Annual Cost" to "Annual Contract Value" for better accuracy.

Ability to clone contracts

Save time creating new contracts by cloning existing ones. You can clone contracts in any status from the grid or within individual contract records. Most fields populate automatically while excluding contract-specific IDs and files. Cloned contracts are created in draft status with a clone designation for easy identification and modification.

Respond to NTE on behalf of vendor

Property managers can indicate not-to-exceed (NTE) acceptance on behalf of vendors who don't actively use Prism. Users with NTE request permissions can indicate vendor acceptance either during creation or after the work order has been created, streamlining accounts payable workflows.

Additional insight into vendor assignees

Work orders assigned to vendor users now display vendor company details in a blue information box below the assignee dropdown. You'll see the vendor company name (clickable to view the full company record), vendor ID, and vendor address when applicable.

Allow invoice dates prior to work order creation with warning

Enter invoice dates that predate work order creation when needed for legitimate scenarios like emergency repairs or administrative tracking. Prism allows these dates with a warning message as an additional safeguard, improving financial record accuracy and audit compliance.
